2. Information we collect
When you send a booking request we collect your name, phone number, email address, booking dates, vehicle choice, pickup and return details, and any comments you provide. Optional details include nationality, flight information, passport number and expiry date, and driving-licence number and expiry date. We also process necessary technical and security logs.
3. How we use personal data
We use booking details to check availability, contact you, prepare a rental agreement, coordinate vehicle handover and provide customer support. Required booking details are used to respond to your request and take steps before a rental agreement; other uses may rely on applicable legal obligations or legitimate interests. Optional identification details require your separate, explicit consent.
4. Passport and driving-licence information
Passport and driving-licence numbers and expiry dates are optional. If you choose to provide them, we use them to verify rental eligibility and prepare the agreement or handover documents. You can leave these fields empty and still send a booking request. We ask for separate consent before accepting these details. The booking form asks for document details, not photographs or scans.
5. Access, service providers and disclosures
Authorized Elephant Rent employees and managers handle booking information. Information needed to fulfil your request may be shared with a rental service partner. We use website hosting and storage providers (including Google Cloud) and operational messaging services (including Telegram), which may process data outside Thailand. Google services may also process site-usage information. We do not sell booking details. We may disclose information when legally required.
6. Cookies and measurement
The website uses technical storage necessary for its operation and may use cookies or similar technologies for language and booking preferences. Google Analytics and Google Ads tags are used to measure visits and booking-request conversions. These providers may collect device and usage data under their own policies. You can manage browser cookies and available privacy controls.
7. Retention and safeguards
Booking information is stored in our systems while needed for handling requests, rental administration, dispute handling and applicable record-keeping duties. You can request information about retention or deletion using the contact below. We use access restrictions and other reasonable safeguards, but no online system can be guaranteed risk-free.
8. Your choices and rights
You may request access to or correction or deletion of your personal data, and exercise other rights applicable under Thai personal-data law. You may withdraw optional-document consent by contacting us, subject to lawful retention obligations. Providing optional document details is not required to submit a booking request.
